Project management: what is it all about

Project management is a challenging activity that has to do with four traditional components: expenditure, schedule, time and quality. A bit more ambitious objective is to optimize work processes and resource attribution. The majority of projects utilize such elements as people, funds, and equipment to achieve results and hit selected targets. To manage projects successfully one need to work on quite a few things. You can see a few of these factors in the list below:

- Goal setting and assessing achievement.

- Dealing with risk. The majority of projects feature a this or that degree of risk.

- Allocating labor and machinery for the project.

- Determining the products of the project.

- Managing what is going on: giving out tasks, controlling the work-in-progress.

- Assuaring quality.

- Dealing with change. Change happens. The majority of tasks develop in time, so the factor of dynamics has to be properly considered.

- Talking to people doing the project.

To handle these elements you can employ pen and a notepad or probably MS EXCEL. However, you get some interesting pluses if you decide to use project tracking software:

- It makes scheduling easy. Duration can be calculated by the program using the workload information. It is possible to define work calendars for various employees. Managing progress also becomes not that much of an issue.

- Managing several projects with various requirements. Management can use productivity tracking software to facilitate portfolio of projects analysis.

- Critical path is clearly visible. The critical path is made of jobs that determine the real length of the project. If a task on the critical path takes more time than the manager planned, dates of work on other tasks will be altered. Whereas other tasks that are not on the critical path may last longer or shorter and not change the timing of the whole project.

- Letting all involved know what is going on. The more complex are the project needs, the more of them have to be talked about. Productivity tracking software makes dissemination of data easier than it has ever been before.

Should you every time choose task tracking software?

Project management solutions might not be suitable in 100 percent of all cases. The most suitable time to reap the benefits from such software is when you supervisea few big projects. It might be a good idea to manage smaller projects manually, so that there is no need to deal with big overhead associated with employing complex software solutions.
