Project management: what is it all about

Any project manager operates four components: expenditure, schedule, time and producing a satisfactory result. Qualified project managers also try to make the organization of business processes better. The majority of tasks utilize such elements as labour, money, and equipment to deliver results and meet objectives. There are a number of things that are vital for successful project management. You can see a few of these factors in the list below:

- Establishing goals and conducting analysis.

- Dealing with risk. Take any project and you will see that it involves a lot of uncertainties that should be accounted for.

- Allocating and supervising resources.

- Having a clear idea about the outcome you want to see when the project is finished.

- Overseeing the project from the point of view of who is doing what and when.

- Making sure that the products of the tasks are of satisfactory quality.

- Handling instability. Everything changes. All projects develop in time, so the element of dynamics should be accounted for.

- Exchanging information with project stakeholders.

Traditional methods of running projects, such a pencil and a notepad, can be used to deal with the majority of of these things. However, you get some interesting pluses if you decide to use project tracking software:

- Task are smoothly assigned to dates and times. A program will automate scheduling calculations. It is possible to set work calendars for different people. Managing work-in-progress also becomes easier to manage.

- Coordinating a few projects with different requirements. Project management software allows project executives to observea larger picture and aggregate data on several projects.

- Critical path is clearly visible. The critical path of a project consists of tasks that determine the actual duration of the project. If a task on the critical path lasts longer than the manager planned, dates of work on other tasks will be changed. Whereas other tasks that are not on the critical path might last longer or shorter and not change the timing of the whole project.

- Letting all involved know what is happening. Complicated projects require information exchanges. Groupware productivity tracking software allows each participant to be on the same page every time.

Is it always necessary to employ task tracking software?

Project management software might not be appropriate in 100 percent of all cases. The best time to use such software is when you managea few big projects. Small projects can be managed using MS Excel which allows you to save on overhead costs of employing fairy complicated software.
